Guide Healthcare Pty Ltd (“Guide Healthcare”, “we”, “us”, “our”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Guide Connect mobile application (“App”) and associated services.

1. Information We Collect

When you use the App, we may collect the following categories of information:

Account & Profile Information

  • Phone number (for SMS/OTP login)

  • User ID and role (e.g. staff, participant)

  • Name and other basic profile details you choose to provide

Event & Activity Data

  • Step counts and movement data from your device’s motion/fitness sensors

  • Distance and route information via GPS location services

  • Exercise duration, repetitions, and activity scores (manual or tracked)

  • Team assignments and event participation history

Device & Technical Data

  • Device type, operating system, and app version

  • Usage metrics and performance data via Firebase Analytics

  • Error reports and diagnostic logs to improve reliability

We do not collect photos, videos, or payment information in the current version of the App.

2. How We Use Your Information

We process the information we collect to:

  • Verify your identity and allow you to sign in securely

  • Record, display, and calculate event activities, scores, and leaderboards

  • Deliver core functionality of the App for staff and participants

  • Monitor performance, diagnose issues, and improve features

  • Maintain security, prevent fraud, and comply with legal obligations

We will not use your information for advertising or marketing without your explicit consent.

3. Sharing & Disclosure

We do not sell, rent, or trade your personal information. We may share your data only in the following cases:

  • Service Providers: With trusted third-party providers (such as Firebase by Google) who process data on our behalf to support the App.

  • Legal Compliance: When required to do so by law, regulation, or valid legal process.

  • Business Transfers: If Guide Healthcare undergoes a merger, acquisition, or sale, your information may be transferred subject to this Policy.

All service providers are contractually bound to handle your data securely and only for the purposes specified.

4. Permissions

The App may request access to certain device features:

  • Location Services – to measure distances for walking and cycling activities

  • Motion & Fitness Data – to track steps and activity levels

  • Storage – to cache and store session data locally

You can manage or revoke these permissions at any time in your device settings. Some features may not function without the necessary permissions.

5. Data Retention & Deletion

  • We retain personal and activity data only as long as necessary to operate the App and comply with our legal obligations.

  • Local data on your device can be cleared at any time through the in-app “Clear Data” option.

  • To delete your full account and all associated data stored on our servers, you may contact us at support@guidehealthcare.com.au. We will respond within a reasonable timeframe and confirm once your data has been permanently deleted.

6. Children’s Privacy

The App is not intended for use by children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us immediately so we can take appropriate action.

7. Security

We use a combination of technical, administrative, and organisational safeguards to protect your personal information, including encryption of data in transit and restricted access controls. However, no security measure is perfect, and we cannot guarantee absolute protection of your information.

8. Your Rights

Depending on your location, you may have the right to:
